Clear terms for made-to-order clothing and products.

These policies explain how ThreadKing handles production, delivery, sizing, returns, cancellations, custom work, printing, payments, privacy, cookies and website use.

ThreadKing is a UK sole trader business operating under the trading name ThreadKing and based in Norfolk, United Kingdom. Most products are made to order, so read the relevant sections before placing an order or approving custom work.

PRODUCTION & DELIVERY

From order to arrival.

ThreadKing products are made to order through selected production, print, embroidery and fulfilment partners. The production route varies by product, stock, artwork, production method and delivery location.

Production commonly takes around 2–5 working days before dispatch for standard clothing such as Hoodies, T-Shirts and Zipped Hoodies. Other products may follow different production schedules. Artwork checks, proof approval, embroidery setup, stock, public holidays and supplier capacity can affect timing.

Standard UK mainland delivery is free on normal website orders.

Some specialist, custom, business, bulk or specially sourced products may require a separate delivery charge. Where a delivery charge applies, it will be shown with the product or made clear before the order is confirmed.

Most orders are expected within approximately 7–14 working days from the order date, although this is an estimate rather than a guaranteed delivery date.

Some clothing orders may be produced and dispatched from the UK or another European location. Other products may follow different fulfilment routes, and an order may occasionally arrive in more than one parcel.

International delivery is handled separately. Availability, cost and delivery time can vary according to the destination, product and fulfilment route.

Tracking is provided where available. Courier delays, customs, stock issues and circumstances outside ThreadKing’s reasonable control may affect delivery.

If an order has not arrived within the expected timeframe, use Contact Us and include the order number.

Customers are responsible for checking the size guide and product measurements before ordering. Size names can vary between garments and suppliers, so compare the measurements with a similar garment that already fits well.

ThreadKing cannot guarantee that two different garment styles labelled with the same size will fit identically.

Choosing the wrong size is generally treated differently from receiving a faulty, incorrect or misdescribed product. For a custom, personalised, embroidered or business-branded item, the agreed size forms part of the approved specification.

RETURNS, REFUNDS & CHANGES

What happens when something needs to change.

ThreadKing handles returns according to whether the product is standard, personalised, made to specification or specially sourced, or faulty, damaged, incorrect or misdescribed.

Standard non-personalised goods: customers buying online may have the right to cancel within 14 days after receiving the goods, subject to the applicable rules and exclusions. After giving notice of cancellation, the goods should normally be returned within a further 14 days.

Personalised or made-to-specification goods: goods made to a customer’s specification or clearly personalised are generally excluded from the standard change-of-mind cancellation right. This may include names, dates, customer artwork, adapted designs, embroidery, business branding, private client products and specially sourced products.

Faulty, damaged, incorrect or misdescribed goods: personalised or custom status does not remove statutory rights. Use Contact Us promptly with the order number, a description and clear photographs.

Do not return goods to the sender, manufacturer, printer or any address shown on the parcel. Contact ThreadKing first so the correct return instructions and authorised return address can be provided. This process does not remove statutory rights.

Unless the product is faulty, damaged, incorrect or misdescribed, the customer is normally responsible for return postage. Approved refunds are made to the original payment method.

Contact ThreadKing as quickly as possible if an order needs to be changed or cancelled.

Where a Request a Change option is shown within a product or client/custom product area, it may be used to send a change request to ThreadKing. This is a request only and does not automatically change an existing product specification, approved design or order.

Because products are made to order, a change or cancellation may not be possible after sourcing, artwork preparation, approval, production or fulfilment has started.

For personalised, custom, adapted, embroidered, business-branded, private-client or specially sourced goods, cancellation or amendment may not be available once work has begun or the goods have been made to the agreed specification.

If a requested change affects artwork, production method, embroidery setup, product choice, price or delivery, ThreadKing will confirm the revised details before proceeding where required.

PRODUCTS, PRINTING & APPROVAL

What made-to-order means in practice.

Digital previews, website images and screen colours are guides rather than exact physical guarantees.

Garment colour, fabric, material, print method, lighting, screen settings and production route can affect the final appearance.

Small differences in colour, texture, placement, alignment, sizing and finish can occur within normal made-to-order production tolerances. These do not remove customer rights where a product is faulty, damaged, incorrect or not as described.

Embroidery has additional production characteristics and limitations, including differences between a digital mock-up and the finished stitched result. See Embroidery & Digitisation below for the embroidery-specific policy.

Product details, garment specifications and supplier availability may change. Where a significant substitution or change is required, ThreadKing will seek clarification before proceeding where reasonably possible.

Embroidery is produced from a stitch file rather than directly from the digital artwork shown on screen. Mock-ups, previews and product images shown before embroidery are digital representations and are not photographs or exact simulations of the finished embroidered result.

Digitisation converts artwork into a stitch file suitable for embroidery. This process may require fine detail, small text, line thickness, spacing, colours or gradients to be adjusted or simplified so the design can be stitched successfully.

Thread colours, garment material and colour, stitch type and density, machine settings and the finished embroidery size can all affect the final appearance. Reasonable differences between the original artwork or digital mock-up and the finished embroidery are therefore expected.

Approval confirms the design, wording, spelling, approximate placement and size shown or agreed for production. It does not guarantee an exact visual reproduction of a digital image in thread. ThreadKing may require artwork adjustments where needed to achieve a suitable embroidered result.

Where an embroidered product requires artwork digitisation or embroidery preparation, the applicable Embroidery Setup fee is automatically added to the basket or checkout. The setup fee is separate from the price of the embroidered product and covers preparation and digitisation of the artwork.

The setup fee normally applies per artwork. A further setup fee may be required where the design is materially changed, a different production supplier or process is used, or an existing stitch file cannot be reused.

If the embroidered product requiring the setup is removed from the basket, the associated setup fee is also removed where no other product in the basket requires that setup.

These embroidery characteristics do not remove statutory rights where the finished product is faulty, damaged, incorrect or not as described.

Custom Clothing, embroidery, adapted designs, business branding, promotional products and specially sourced products are checked individually before confirmation.

The agreed specification may include the product or garment, colour, sizes, quantity, artwork, wording, spelling, placement, production method, price, delivery arrangements and approval route.

Customers must check every proof, mock-up, preview and written detail carefully. Approval confirms that the visible details are accepted for production.

Customer-approved errors, including incorrect spelling, names, dates, sizes, colours, business details or unsuitable submitted files, may not qualify for a free remake where the finished item matches the approved information.

Custom and branded business products are made available only through the relevant customer or business account. Merchandise products may instead be made available through a password-protected merchandise page.

Product availability, minimum quantities, pricing, production routes and delivery arrangements may change before an order is confirmed. Where a specialist, bulk, custom or specially sourced product carries a separate delivery charge, this will be made clear before confirmation.

ThreadKing may decline a request that is unsuitable, unlawful, unsafe, unavailable or likely to produce an unacceptable result.

Custom and branded business products are made available only through the relevant customer or business account.

Access to those products may be provided through the customer account and My Custom Products area.

Merchandise products are handled differently and may be made available through a password-protected merchandise page rather than through an individual customer account.

Customers are responsible for keeping their account login details and any merchandise-page password secure and should not share access with anyone who is not authorised to use it.

Access to a custom, branded business or merchandise product is provided for convenience and does not guarantee that the product, specification, supplier, production method or price will remain available indefinitely.

Products may be updated, replaced, withdrawn or repriced where supplier availability, production costs, specification or other operational requirements change. The price shown at the time a new order is placed is the price that applies unless another price has been specifically agreed.

Where a Request a Change option is shown within a custom or client product area, it may be used to send a request to ThreadKing for review. Submitting a request does not automatically change the product, approved specification or any order already placed.

Access to a custom, branded business or merchandise product does not transfer ownership of artwork, branding, product setup or other intellectual-property rights unless separately agreed.

ThreadKing may restrict or remove access where an account or protected page is being misused, where a client relationship has ended, where products are no longer available, or where continued access is no longer appropriate.

Customers must own, control or have permission to use all logos, artwork, images, wording, names, trademarks and other protected material supplied to ThreadKing.

This applies whether material is supplied through Contact Us, an upload form, a customer or client area, or another agreed method.

Supplying material is treated as confirmation that the customer has the necessary rights and permissions for the requested use.

ThreadKing may refuse, pause or cancel work where ownership or permission is unclear, or where content may infringe rights, break the law or create a material reputational risk.

The customer remains responsible for claims arising from material they supplied without the required permission, subject to rights and liabilities that cannot legally be excluded.

ThreadKing may invite customers to leave a review or provide feedback after an order or enquiry.

Reviews should reflect a genuine experience. ThreadKing may use submitted reviews, ratings or feedback in marketing where permission or an appropriate lawful basis applies.

Where a testimonial includes a customer name, business name, photograph, logo or other identifying material, ThreadKing may seek additional permission where appropriate.

Personal details that are not intended for publication should not be included in a public review.

PAYMENTS, GIFT CARDS & VAT

How charges and records are handled.

Website payments may be processed securely by Stripe or PayPal. Apple Pay and Google Pay may also be available through the relevant payment provider.

Payment availability can vary by device, browser, order type and payment provider.

For selected custom, business or manually arranged orders, ThreadKing may send a secure SumUp Payment Link by email, text message or another agreed communication method.

ThreadKing does not normally receive or store full payment-card details. Payment providers process payment information under their own privacy and security terms.

ThreadKing gift cards are digital products and are delivered electronically rather than by post.

Gift cards may be used towards eligible ThreadKing purchases, subject to any restrictions shown with the gift card.

Gift cards are not redeemable or exchangeable for cash.

The purchaser is responsible for providing the correct recipient details where a gift card is being sent to another person.

If an order paid wholly or partly with a gift card is cancelled or refunded, the amount originally paid using the gift card will normally be returned to the gift card balance. Any remaining refundable amount will be returned through the applicable payment method.

ThreadKing is not currently VAT registered.

ThreadKing therefore does not charge VAT as a VAT-registered seller and cannot issue a VAT invoice.

Customers receive a standard order confirmation or receipt showing the order details and amount paid. For custom, branded, embroidered or specially arranged work, a standard receipt or order confirmation can be provided where required.

TERMS & CONDITIONS

By placing an order, approving custom work or using the website, customers agree to the terms and policies that apply to the relevant purchase or service.

Goods and services are subject to the product information, policies and any product-specific requirements shown or agreed at the time of purchase or approval.

Product descriptions, prices, availability, offers and discounts may be updated. The price shown on the website, in the relevant customer or business account, on a password-protected merchandise page, or otherwise specifically agreed at the time an order is placed is the price that applies to that order.

An automated order acknowledgement does not always mean that an order has been finally accepted. ThreadKing may contact the customer, request clarification, refuse, cancel or refund an order that cannot be fulfilled, contains an obvious error, requires approval or raises legal or operational concerns.

Customers are responsible for checking product information, sizing, colours, artwork, wording, spelling, delivery details and order information before purchase or approval.

Custom and branded business products are available only through the relevant customer or business account. Merchandise products may be made available through a password-protected merchandise page. Access to these areas does not transfer ownership of artwork, branding, product setup or other intellectual-property rights unless separately agreed.

A Request a Change submission does not automatically change an order, design or product specification. An agreed change may affect price, production or delivery arrangements.

Promotional offers, discount codes and business discounts are subject to the conditions that apply to them. Unless specifically stated otherwise, discounts and coupon codes cannot be combined.

Where a business first-purchase discount applies, it applies to the first qualifying purchase of that product type. A different design, colour or variation of the same product type does not create a new first-purchase discount entitlement.

Product-specific delivery charges, setup fees, minimum quantities or approval requirements may apply where they are clearly shown or agreed before confirmation.

Nothing in these terms removes or limits statutory rights or liability that cannot be excluded by law.

Consumer purchases and business purchases may be subject to different legal rights. Business customers should ensure that the agreed quotation, specification and payment terms are suitable before confirmation.

PRIVACY & COOKIES

How personal information and website technologies are handled.

ThreadKing is the data controller for the personal information described in this policy.

ThreadKing may collect names, contact details, billing and delivery information, order and account details, enquiry records, live-chat messages, change requests, artwork and uploaded files, payment-status information, IP address, browser and device data, and cookie or consent preferences.

Personal information is used to process and fulfil orders, respond to enquiries, provide customer support, manage customer accounts and access to custom or branded business products, manage password-protected merchandise access, handle change requests, manage custom and business requests, prevent fraud, maintain website security, keep legally required records and, where permitted, communicate relevant marketing.

The lawful bases used may include performance of a contract, steps taken at the customer’s request before entering a contract, compliance with legal obligations, legitimate interests and consent.

Relevant information may be shared with payment providers including Stripe, PayPal and SumUp; selected production and fulfilment partners; delivery companies; website hosting, security, analytics, email, form and live-chat providers including Tawk.to; professional advisers; and public authorities where legally required.

ThreadKing does not normally receive or store full payment-card details. These are handled by the relevant payment provider.

Transactional communications about orders, accounts, payments, delivery, support or service requests may be sent where needed to provide the requested service. Optional marketing communications are handled separately and, where consent is required, that consent can be withdrawn.

Information is retained only for as long as reasonably necessary for order administration, customer support, repeat-order management, accounting, tax, fraud prevention, security and legal claims. Retention periods vary according to the type of information and the legal or operational purpose.

Some service providers may process information outside the UK. Where required, appropriate UK data-transfer safeguards are used.

Individuals may have rights including access, correction, erasure, restriction, objection, portability and withdrawal of consent where applicable. Complaints may also be made to the Information Commissioner’s Office.
